Main focus of the role: To ensure the smooth day to day running of Union HQ as well as providing PA support to the Senior Management Team. You will also be expected to take a leading role in our upcoming office move as well as getting involved in organising events such as the Christmas Party and Client Events. Key Responsibilities * o Facilities Management – build strong working relationships with landlords and service providers ( eg telephone, waste disposal, maintenance, alarms) to ensure the smooth, cost effective running of the office Diary Management and booking of all associated travel, hotels, visa applications etc · Project Management – take a leading role in overseeing ad hoc projects as they arise. An example of this would be our upcoming office move. · Providing of some basic adhoc HR and Marketing administrative support · In conjunction with HR, take a leading role in ensuring Health and Safety compliance in the office · Provide some finance admin support – eg processing of invoices, ensuring that they are within budget, tracking of onset expenses and ensuring they are charged back to the client · Work with the office runner to ensure the office is kept fully stocked with supplies and presentable at all times · Implement and improve office procedures as we grow · All other duties as directed as they arise in support of the over arching focus of the role Person Spec The successful candidate will be confident in their approach and happy to go with the flow. You’ll need to be proactive and be happy to roll up your sleeves and get stuck in with whatever needs doing. As a person, you will be happy to work with minimal supervision and as such you will be self-directed and motivated. A good sense of humour and an unflappable style will all help you to be a success in this role Key skills * The ability to maintain discretion and deal with sensitive and strictly confidential material * Excellent attention to detail * Able to demonstrate a high level of organisational skill * Able to react quicker to changing demands and priorities * Ability to think and plan ahead in a bid to spot problems before they happen * Computer literate * Strong communication skills both written and verbal * Ability to build effective working relationships across all levels of the business * Able to work with minimum supervision Previous experience as an Office Manager /PA is essential. It would also be a distinct advantage if this experience had been gained in a creative industry.
